1. Information We Collect

When you fill out our contact form, we collect your name, email address, phone number (optional), company name (optional), industry, and message. We use this information solely to respond to your inquiry and provide our services.

2. How We Use Your Information

We use the information you provide to:

  • Respond to your demo requests and inquiries
  • Schedule consultations and on-site visits
  • Provide customer support
  • Send relevant updates about our services (only if you opt in)

3. Data Security

We take data security seriously. All form submissions are transmitted over encrypted connections (TLS). We do not sell, trade, or share your personal information with third parties for marketing purposes.

4. Call Recording & Voice Data

When you interact with an AIVoxaPro voice agent, calls may be recorded for quality assurance, training, and service improvement purposes. Callers are informed at the beginning of each call that recording may occur.

  • What is recorded: Call audio, transcribed text, and AI-generated responses.
  • Retention period: Call recordings are retained for up to 90 days unless a longer period is required by the business client or by law.
  • Access: Recordings are accessible only to authorized users (Operators and Admins) within the business that deployed the AI agent.
  • Deletion: Callers may request deletion of their call recordings by contacting the business directly or by emailing us at contact@aivoxapro.com.

5. Data Retention

We retain your contact information only as long as necessary to fulfill the purpose for which it was collected, or as required by law.

6. Third-Party Data Processors

To deliver our AI voice agent services, certain data may be processed by trusted third-party providers:

  • Deepgram — processes call audio for speech recognition and text-to-speech.
  • OpenAI — processes conversation text to generate AI responses.
  • Telnyx / VoIP.ms — provides telephony infrastructure for voice calls.

These providers process data solely to perform their designated functions and are bound by their respective privacy policies and data protection agreements. For on-premise deployments, speech processing can be configured to run locally, minimizing third-party data exposure.

7. Your Rights

You have the right to request access to, correction of, or deletion of your personal data. To exercise these rights, contact us at contact@aivoxapro.com.

8. Cookies

Our website does not use tracking cookies or third-party analytics. We use only essential cookies required for the website to function properly.

9. PIPEDA Compliance

AIVoxaPro operates in compliance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). You have the right to access, correct, or request deletion of your personal information at any time by contacting us. We collect only the information necessary to provide our services and obtain meaningful consent before processing your data. If you have a complaint about our privacy practices, you may contact the Office of the Privacy Commissioner of Canada.
